01Getting started

Rivao runs in the browser on any phone, tablet or laptop. There is nothing to install. Open app.rivao.defite.in and add it to the home screen if you like.

Which device for which job

  • Tablet at the counter. The billing screen shows products on the left and the bill on the right. Best for busy counters.
  • Phone. Bill from the floor, check stock, look up a customer. A bottom bar gives you Home, New bill, Bills and Customers.
  • Laptop. Best for the owner's work: products, purchases, reports, payroll, settings. Keyboard shortcuts speed up billing.
  • Hardware that works: any USB or Bluetooth barcode scanner (it types like a keyboard), the phone or tablet camera as a scanner, thermal label printers (50×25 or 38×25 mm) or A4 sticker sheets, and any printer for bills.

  1. Go to app.rivao.defite.in/signup.
  2. Enter shop name, your name, mobile number, a password, city and state. Email is optional.
  3. Tap Create shop and start trial. You land on the home screen and can import your stock sheet straight away.

The trial runs on the Growth plan for 14 days. The days left show in the app. To keep going, ask Defite to switch you to a paid plan from Settings → Plan and usage.

Just looking?

Open app.rivao.defite.in/demo. It creates a full sample shop for 24 hours. Nothing is sent or charged, so you can try every button.

Sign in with password or PIN

Everyone
  • Password: mobile number plus password. Owners and managers usually use this.
  • PIN on a shared counter device: sign in once with the owner's mobile and password. After that, staff tap Who is using Rivao?, pick their name and type their 4 to 6 digit PIN. Each person's bills and actions are recorded under their own name.
  • The screen locks itself after a few idle minutes (set in Preferences), so the next person signs in with their PIN.
  • Forgot password or PIN? The owner resets it in Settings → Users → Edit.
  • Several shops? If your number belongs to more than one shop, Rivao asks which shop to open.

Find your way around

  • Left menu (laptop and tablet) is grouped: Sell, Catalogue, Customers, Marketing, Money, Staff, Insights. You only see what your role is allowed to use.
  • Lock icon next to a menu item means your plan does not include it. Tap it to see which plan does.
  • Outlet switcher at the top left picks which shop you are working in. Stock, cash drawer and bill numbers are per outlet.
  • New bill button sits at the top right on every screen.
  • Your name at the top right opens My account, Help and support, and Sign out.
  • On a phone the bottom bar has Home, the orange + for a new bill, Bills, Customers and More.

A shop sees its exact plan, limits used and everything included in Settings → Plan and usage. Defite can turn single features on or off for a shop, so this page is the final word for that shop.

14Questions and fixes

A staff member forgot their PIN or password

The owner opens Settings → Users → Edit on that person and sets a new one.

A phone or tablet was lost

Settings → Devices → Sign out on that device. Then change that person's PIN.

I made a bill by mistake

Open it from Bills and tap Void bill with a reason (owner or manager). If the customer took the goods and came back, use Return or exchange instead.

The drawer is short or over at night

Enter what you counted and write a note. The difference is saved in Past shifts and the audit log. Check the cash book for refunds or expenses paid from the drawer that day.

An item shows negative stock

It was sold before it was received or counted. Receive the purchase, or use Stock → Adjust with “Count correction”. Stock → Negative lists them all.

The scanner does not find a barcode

The item may not be in Rivao yet, or its tag has the supplier's barcode. Search by name, then print a Rivao label for it.

A customer did not get the bill on WhatsApp

Check the number on the bill, then Settings → WhatsApp → Message log. Bills are service messages and go even without marketing consent, as long as WhatsApp is connected and the monthly limit is not used up.

A customer did not get a campaign or offer

Marketing goes only to customers marked “Agreed”, outside quiet hours, and not more often than the limit in Preferences. Imported customers start as “Not asked”.

A menu item has a lock

It is not in your plan. Settings → Plan and usage shows which plan includes it, and Ask to switch.

GST rate missing on an item

Set GST on the product (by price slab or a fixed rate your accountant gives), or ask Defite to add the GST table for that category.

How do I get help?

Help and support is in your name menu at the top right. To let Defite look at your account, approve their request in Settings → Support access.
